Privacy policy

This policy explains what personal data AIJobSubmit collects, why, who we share it with, and your rights. AIJobSubmit is operated by Nomadlogy Ltd, a company registered in England and Wales ([company number]), [registered address]. We are the data controller. What we collect

• Account details: your email address, and your name and profile picture if you sign in with Google.
• What you put into the service: your profile, resumes, cover letters, uploaded files (such as resume PDFs), job descriptions you paste, saved jobs, application tracker entries and notes.
• Billing details: your plan, subscription status and payment history. Card details are handled by Stripe; we never see or store your full card number.
• Usage and technical data: records of AI features you use (feature, date, size of the request and estimated cost), sign-in and security logs, and a hashed (one-way scrambled) version of your IP address for rate limiting.
• Free tools: text you paste into our public tools is processed to give you a result and is not stored. We keep a hashed IP address and the tool name for up to 24 hours to prevent abuse.

Why we use it (lawful bases)

• To provide the service you signed up for (contract): your account, documents, AI features, job search and tracker.
• To take payment (contract) and keep financial records (legal obligation).
• To keep the service secure and prevent abuse (legitimate interests): rate limits, fraud prevention and security logs.
• To send service emails (contract): sign-in links, receipts, payment problems and the follow-up reminders you set.
• Analytics (consent): only if you accept analytics cookies. You can change your choice at any time in cookie settings.

We do not sell your data. We do not use your documents to train AI models.

AI processing

When you use an AI feature, the relevant text (for example your resume and the job description) is sent to our AI provider, Anthropic, to generate a result. Our provider processes it on our behalf and does not use it to train its models. AI output can be wrong; always review it before you use it. We tell the AI to use only facts you provided.

Who we share data with

We use these service providers (processors), each under a contract that protects your data:

• Railway: hosting and database (EU region).
• Cloudflare (R2): storage for files you upload.
• Anthropic: AI processing.
• Resend (or Brevo): sending emails.
• Stripe: payments and billing.
• Google: only if you choose "Continue with Google".
• Adzuna: job search. We send your search terms (keywords and location), not your personal details.

Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum.

How long we keep it

• Your account data is kept while your account is open. When you delete your account, we delete your profile, documents, uploaded files, tracker, saved jobs and sign-in records straight away.
• Billing records are kept by us and Stripe for as long as tax law requires (usually 6 years).
• AI usage records are kept without any link to you after account deletion, for cost reporting.
• Security logs are kept for up to 90 days.

Your rights

Under UK data protection law you can ask to access, correct, delete or receive a copy of your data, object to or restrict how we use it, and withdraw consent at any time. You can download all your data and delete your account yourself from your account page. For anything else, contact us. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk).

Children

AIJobSubmit is not intended for anyone under 16.
